Procurement FAQs

This section is for any staff responsible for IT purchasing, asset management, or disposals. Please note some links require users to be on the state network for access.

ITS provides support with asset management, fiscal services, and purchasing IT-related items. See the FAQs below for additional information:

ITS will assist with IT procurement when it makes sense and adds value. See the decision tree below.

The following purchases/renewals will be processed by ITS with an interagency bill to the agency:

– SWCAP renewals including Microsoft, Adobe, Pluralsight, etc.
– Enterprise/multi-agency hardware maintenance renewals including Juniper, Cisco Smartnet, Dell hard maintenance, etc.
– ITS contract purchases/renewals including broadband, long distance, and other telecom services.

Purchases/renewals under contracts held by your agency will continue to be managed and processed by your agency.<

The following purchases may continue to be processed by your agency:

– Small purchases below the contracting threshold set by the Division of Purchasing.
– Purchases being made by a single agency.

Equipment may be drop shipped to an agency location, or shipped to our Boise office, depending on the type and quantity of purchase, and whether the equipment requires configuration prior to deployment and installation. For common purchases such as laptops, desktops, and peripherals:

– Orders of 1-5, if factory provisioned, will be drop shipped regionally to north Idaho, eastern Idaho, or the Boise office and then delivered to your agency.
– Orders of 6-50 will be shipped to the Boise office, then delivered to your agency.
– Call 208-605-4144 if ordering more than 50 computers.

ITS provides asset management documentation on computer inventory owned by supported agencies. Inventory is provided from active devices on the state network and all agency devices must have monitoring agent software installed.

For IT-related equipment disposals and hard drive sanitation or destruction, agency customers may use any of the contracts for disposal services directly or may work with ITS to coordinate disposals, subject to staff availability.

When coordinating disposal on behalf of an agency, ITS will:

– Provide current estimated value and condition of equipment to agency at the time of removal, if applicable.
– Reset configurations on network equipment to factory default settings.
– Adhere to agency compliance requirements for equipment disposals, where applicable.
– Remove original property tags and return to agency.
– Schedule and oversee equipment pick up.
– Forward copy of Certificate of Destruction to agency for sanitized or destroyed hard drives, if applicable.
